January 2006 Meeting Minutes

by Donna Franus

President Roger Dougan called the meeting on January 5th to order at 7:20pm.  Guests included Kathy Bagnell and Mary and Elmer Weller.

Minutes from the previous meeting were approved as read by Sandra Shiver, who explained that our last meeting was a potluck Christmas party.  The treasurer’s report was approved as presented by Jenni Dougan.

Committee Reports:

  • Scholarship: Reviewed and explained the $500 scholarship award for all new comers.  A reminder will be sent by mail to all high schools in the Texoma area this month.  A suggestion was made to hold the award money until receiving proof from the school of attendance of recipient.
  • Shows and Events: No report; Sally Thomason was not able to attend the meeting

Old Business:

  • Club promotion: the Shopper ad will run for a couple more months

New Business:

  • 2006 Shows and Events: Due to the need to establish our event schedule in order to begin promotions in the newsletter and elsewhere, it was decided by all in attendance to focus on two key items – dates and locations.  An initial motion to move shows from Sunday back to Saturday was made and approved.  Following this, the following list of suggested event dates were discussed:

April 22 – Open Show

May 20 – suggested playday

June 17 – Youth Clinic & Show

September 16 – Open Show

November 11 – Futurity and Open Show

January 2007 – Mare/Foal Clinic

All dates would be contingent on locating an acceptable arena and whether other events are scheduled in that arena for the same date.

  • There is no definite response yet from LLLC regarding what they plan to charge us for using the Loy Lake covered arena, and the Grayson County Sheriff’s Posse is not scheduled to meet and discuss the use of their open-air arena until February.  In an effort to explore other possibilities quickly, members and visitors were all asked to contact arenas in their area to find out availability and cost to use for shows.  These arenas included the Durant Fairgrounds, Choctaw Coliseum, Texoma Quarter Horse Association arena, and Crossfire Arena.  It is hoped that information will be available on all of these so that at least a tentative decision could be made prior to the February meeting.
  • A suggestion was made to include team roping as part of a playday event.  Jenni Dougan will check first to see if our insurance would cover speed events like these.
  • Fund Raising: Freeze branding was discussed as a possible fundraising activity.  Roger Dougan will follow up on this for possibly holding an event in March.
  • Stallion Auction – This year’s stallion auction will be published in the February newsletter and advertising added to the website.  Stallion owners will be given up to a full-page ad in the Stallion Showcase for donating a breeding to the auction.

The meeting was adjourned and HAT Chats were handed out for distribution to the surrounding communities.
