July 2007 Meeting
Minutes

The meeting on July 5th was called to order by President Sandra Shiver at 7:03pm, followed by the now-customary round of introductions by members and guests.
Announcements:

· Sandra would get a sympathy card for Robin Chouteau
Minutes from the previous meeting were approved as read by Mike Bernier. The treasurer’s report was approved as presented by Treasurer Jenni Dougan.
Scholarship Report: Sandra read the speech she gave at the Youth Clinic during the scholarship presentation. Because of Matt McWhorter’s travel schedule, the presentation was made at the beginning of the clinic; as a result, we didn’t have the problems in the past with everyone breaking for lunch and not paying attention. It was decided to move the scholarship presentation to the beginning of next year’s clinic as well.
Old Business:
· Youth Clinic – Gerry commented there was a good turnout, and that her helpers did a great job. She expressed her thanks to everyone who participated and helped with running the clinic.
· St Jude’s Trail Ride – cancelled due to muddy trails at Big Mineral. No immediate word on when it might be rescheduled.
· Family Riding/Schooling Day – June date was rained out; next riding day scheduled for July 19th at 6pm at the TQHA arena. It was discussed to approach Mick Clark to see if he might be available to come out and offer instruction.
· September 8th Show – Rissa Collins has volunteered to co-manage for this show.
· October 20th Futurity – The search for a judge continues. Gerry has a judge in mind, but is also interested in finding out if we can get a judge from Texas A&M.
New Business:
· By-Laws Proposal: The committee reviewing the by-laws proposal recommended approval, and forwarded it to the Board of Directors for review. The Board members agreed to review the proposal and decide by July 19th on whether to approve and submit it to the membership for a vote; this would allow Mike Bernier to publish it in the August newsletter and on the website, and then a vote could be taken at the September meeting.
· HAT Chat Subscription Rate Change – due to increased postage costs now averaging over $1 per issue, Treasurer Jenni Dougan recommended an increase in the newsletter subscription rate. A motion to increase the rate from $12 to $15 beginning in October was made and approved.
· Clinic Ideas – a proposal for a Freeze Branding clinic was discussed. Roger Dougan offered the use of his farm to hold it, and suggested a date of November 10th. Still need to work out several details, including clinic fees, who would perform the branding, whether or not this is a members-only event, and so forth.
· Website Renewal – Mike Bernier reminded the group that the HAT website registration and hosting services were coming up for renewal this month. He provided a price quote for the renewal, which was voted on and accepted.
· Membership Renewals – Jenni Dougan would work on putting together a process for notifying members of renewals coming up at the end of September.
The meeting was adjourned at 8:50pm and copies of HAT Chat were handed out for distribution to the surrounding communities.

· Robin Chouteau – for researching, selecting, and obtaining the new HAT banners
· The By-Laws Committee and HAT Board of Directors – for devoting their time to preparing and reviewing the proposed new by-laws
